AI Meets Trade Show: An In-Depth Look at the Launch of Event Copilot

The trade show technology sector has welcomed a groundbreaking new tool that promises to revolutionise the way attendees interact with conferences and the way organisers manage them. Trade Show Logic, a trade show management company, has partnered with TurnoutNow, a company that uses artificial intelligence (AI), machine learning and data analytics to deliver business solutions to the live events sector, to launch Event Copilot, an AI-powered interactive platform for the event industry.

Designed to serve as a 24/7 concierge service, Event Copilot has completed its first full deployment at the NAMA Show, a B2B trade show for convenience services, which took place in Las Vegas from 7-9 May.

This follows Trade Show Logic's successful pilot of its proprietary AI assistant Expo Navigator at 2024 at major industry events including the NGAUS Annual Meeting & Exhibition and the NAB Show in New York. To scale the concept, the company turned to TurnoutNow, a technology company with deep roots in AI, location intelligence and behavioural analytics.

"We launched Expo Navigator to solve real problems faced by attendees and organisers," said BJ Enright, president and CEO of Trade Show Logic. "But we knew we could do more. event Copilot bridges the gap between attendees, exhibitors and organisers - creating a personalised experience, increasing exhibitor visibility and generating meaningful interactions across the show floor. "

To gain insight into its use at events, we conducted a product demo and interviewed Harpreet Chatha, founder and CEO of Enright and TurnoutNow.Here's what we found.

What is Event Copilot?

Similar to ChatGPT re-imagined for events, Event Copilot combines generative AI with custom integrations to assist attendees in real-time. Whether it's finding a keynote, scheduling a meeting, or navigating the exhibit hall, the tool provides personalised, voice-activated support directly through the event app, website, or even SMS.

"Event Copilot represents the future of event intelligence and interaction," said Chatha. "Our partnership with Trade Show Logic ensures that the platform is not only strategically based, but tailored to the entire event community."

The Event Copilot platform builds on TurnoutNow's legacy of innovation, including PeerConnect (peer-to-peer connectivity for networking between attendees) and CognitiveSearch (cognitive search for AI-powered searches), unifying these capabilities into a single, customisable tool for show organisers to use .

Benefits for events

For trade show organisers, Event Copilot eliminates the need to manually pre-load fixed answers. It automatically extracts content from websites, APIs, PDFs and videos and supports real-time updates and multi-language capabilities.

Quick setup: by linking the URL or API of the content source, campaigns can be up and running within hours.

Deep personalisation: Understand user preferences and evolve with behaviour.

Seamless integration: Compatible with existing systems such as Map Your Show, Swapcard, etc.

Voice and Text Interface: Supports voice in over 45 languages and text in over 100 languages.

Data insights: includes a post-conference dashboard that provides analytics on attendee interactions, top queries and content gaps.

"It's not just an answer engine, it's an action engine," Chatha said. "It makes your content intelligent."

Strategic and Scalable

Trade Show Logic has positioned Event Copilot as a plug-and-play tool for smaller organisations and an in-depth strategic layer for larger trade shows. Depending on the number of attendees, pricing starts at about $1,500 for events with fewer than 500 attendees to about $11,500 for events with more than 20,000 attendees.

"Some of the smallest shows - less than 100 attendees - are finding great value," Chatha shares. "They're wearing multiple hats, and this tool takes the pressure off the team."

For larger organisations, the platform can be monetised by prioritising sponsors in testimonials or allowing exhibitors to purchase enhanced visibility or interactive features.

Next-generation interactions

Enright emphasises that the real power of Event Copilot lies in the way it is deployed.

"It's not just technology for technology's sake," she said. "We help our clients figure out what they really want this AI to do for their event, and then we customise it to make that happen."

The tool has already been deployed at two Fortune 500 companies' corporate events this spring and is already gaining traction.
